Refund & Cancellation Policy

Overview

This policy applies to all paid workshops, outreach programmes, and events organised by Astrophiles. The Education Portal courses are currently free, so this policy does not apply to them at this time.

We understand that plans can change. Please read this policy carefully before booking. For any queries, contact us at connect@astrophiles.in before making a payment.

Cancellation by Participant

If you need to cancel your booking, please notify us as early as possible via email or WhatsApp. The following refund schedule applies:

Notice Given Refund Amount
7 or more days before event 100% Refund
3–6 days before event 50% Refund
Less than 48 hours before event No Refund
No-show on event day No Refund

Refund timelines may vary. Approved refunds will be processed within 7–10 business days to the original payment method.

Weather & Force Majeure

Astrophiles events are often dependent on clear skies and suitable conditions. In the event of adverse weather:

  • We will first attempt to run an indoor or alternative programme of equal educational value
  • If the event is partially conducted, no refund will be issued for the portion delivered
  • If the event is completely cancelled by Astrophiles due to weather, a full refund or free rescheduling will be offered
  • Astrophiles is not responsible for travel costs incurred by participants

Events may also be cancelled due to circumstances beyond our control (force majeure) including but not limited to natural disasters, public health emergencies, or government restrictions. In such cases, a full refund or credit note will be issued.

Cancellation by Astrophiles

In the rare event that Astrophiles cancels a programme:

  • You will be notified as soon as possible via email and/or WhatsApp
  • A full refund will be issued within 7 business days, OR
  • You will be offered a free transfer to a future event of equal value

We will always endeavour to give at least 24 hours notice for any cancellation from our side.

Transfers & Rescheduling

  • You may transfer your booking to another person at no charge, provided you notify us at least 48 hours before the event
  • Rescheduling to another date is subject to availability and must be requested at least 3 days before the original event date
  • Only one free reschedule per booking is permitted

How to Request a Refund

To request a cancellation or refund, please contact us with:

  • Your full name and registered email address
  • The event name and date
  • Your booking confirmation number (if available)
  • Reason for cancellation
